The Pond Proven Process

When you get in contact with us, one of our Sales Coordinators will take the time to ask questions and learn more about your desired project. During this process, they will also schedule a date and time that works with your schedule, so that one of our Sales Reps can visit your home and assess the work that needs to be done. A confirmation email will also be sent, ensuring the appointment still works for you.

For the inspection and estimation, we’ll arrange for a highly trained Sales Rep to meet with you and discuss the goals of your project and your budget. They will then perform an inspection, identify any issues, and propose a comprehensive solution in a no-pressure manner. We will then give you time to decide, offer a follow-up, and see how you would like to move forward.

During the onboarding phase, we will collect your signed contract, record your deposit, send you a confirmation email that verifies the estimated lead times, and have our Sales Rep perform a final review. Once these steps have been completed, our skilled and experienced production team will get to work.

Our Production Coordinator will get your project ready for installation. If you’ve purchased doors, windows, or siding, a final measurement will be performed before materials are ordered. During this process you can also expect us to upload the project drawing, schedule material delivery, create a field work order, schedule your installation, and provide customer installation day reminders.

During this step, your project will be in the hands of our Field Supervisor, Quality Assurance Manager, and the onsite crew leaders. Your point of contact will also be the Production Coordinator who scheduled your installation. While work is underway, our team will manage all material deliveries and provide regular clean-up checks. Throughout the installation, we will adhere to a comprehensive jobsite checklist to ensure project success.

• Installation crew arrives on site.

• Materials delivered to your home.

• For siding projects, Installation Director performs start meeting.

• Visits by Field Supervisor and/or Quality Assurance Manager.

• Expert installation performed, including final cleanup.

• With 3 business days, Field Supervisor returns to remove leftover materials and perform a final cleanup check.

In the post-production phase, we will record any additional work that was needed, such as rotted wood replacement. Once this step is done, the production department will conduct a final review of the project and confirm your paperwork is correct before we finalize the invoice.
Your project will go to our accounting department, where a final invoice will be processed and confirmed. After the invoicing process is done, someone will get in touch to ensure that the job was completed as expected and based on the specifications that were provided.
If necessary, Team Pond will also schedule a final inspection, go over any questions you may have regarding the installation, present the invoice, and collect your final payment.

From there, we will prepare your warranty paperwork, upload your warranty, and register your extended warranty. Down the line, if you find that you need to utilize your warranty, don’t stress, just give us a call or send us an email.
To start on your warranty, we will schedule a meeting with our Quality Assurance Manager, who will help solve any issues you may be experiencing with your completed project.
